Receptionist/Appointment Specialist

Anderson Cosmetic Surgery is looking for a Receptionist/Appointment Specialist with at least 3 years experience, preferably in the medical/clinical field. Responsibilities:

  • Participate in marketing, seminars and special events
  • Opens Clinic and reviews waiting area for neatness.
  • Answers incoming phone calls
  • Schedules appointments/surgeries by phone, face-to-face and through the web
  • Greets and directs patients during afternoon consultations

  • Maintains Easy Calendar and Surgical Calendar
  • Schedules medical tests for surgical patients if needed
  • Prepares treatment rooms before afternoon consultations

  • Reviews medical records/charts for completeness
  • Assists in assembling medical records into standard order
  • Manages medical records requests
  • Compiles various reports for Business Manager
  • Enters patient data into computer and other data entry projects
  • Must be computer literate
  • Takes meeting notes and distributes meeting minutes

  • Prepares new patient charts
  • Schedules and prepares charts for Peer Review
  • Prepares pre-operative packets for patients

Executive Assistant/Sales:
Sophisticated, mature, experienced Executive Assistant to the Business Manager of a prestigious eastside cosmetic surgery center. Must be able to provide general administrative support for sales, special events, seminars, and marketing. Must initiate follow-up calls to prospective patients and track scheduling.

Responsibilities:
  • Provide impeccable patient liaison services to patients and return all patient telephone calls as first priority•
  • Assist in new-patient consults
  • Conduct daily follow-up calls
  • Assist with special events, seminars and marketing
  • Keep patient email addresses accurate and up-to-date•
  • Track referral sources
  • Respond to Web requests and schedule appointments

Qualifications:

Registered Nurse
We are seeking an experienced (5+ years) full-time RN who possesses the following levels of expertise and desires to perform the following duties:
  • Monitor and administer sedation during surgery under Dr. Anderson’s direction
  • Assist Dr. Anderson with surgery
  • Dispense all medications and narcotics as designated by Dr. Anderson
  • Start IV and fluids
  • Monitor patient’s recovery after surgery
  • Provide discharge instructions to patient and family
  • Make follow-up surgery call to patient to check status
  • Administer injectibles provided by the clinic – Botox, Restylane and Radiesse
  • Keep al instruments and surgical equipment clean and sterile when necessary
  • Keep crash cart stocked and equipment in working condition
  • Check expiration dates on medications
  • Conduct Pre-Op consultations and Pre-Op Exam including taking pre-surgery photographs
  • Perform necessary blood draws and lab work
  • Provide rechecks for surgery patients
  • Respond to medical calls from patients before close of business
  • Work with Medical Assistant to order and maintain all inventory relative to surgery and injectibles. Ensure that all medications and supplies are available at all times.
  • Maintain drug and narcotic logs
  • Prepare chart notes daily
  • Conduct chart audit reviews monthly
  • Comply with all AAAHC Regulations
  • Work with Medical Assistant to organize fire drills, medical emergency drills, staff meetings
  • Regularly provide maintenance and updates in AAAHC notebook binder. Conduct tests and procedures as required by AAAHC
  • Test generator weekly
  • Ensure surgery and consult suites are sanitized and well stocked
  • Order and maintain sample drugs
  • Meet with drug and equipment representatives
  • Daily check schedule to verify date and time of surgery and ensure proper staffing arrangements have been made and patient is ready for surgery
  • Confirm lab results are in chart prior to surgery
  • Confirm all relevant consents have been signed and are in patient’s chart
  • Certify ACLS training every two years
  • Keep certifications current and on file with Business Manager
  • Participate in continuing medical education classes and seminars to update and refine skills

Certified Medical Assistant
Anderson Cosmetic Surgery is looking for a Medical Assistant with a desire to focus on aesthetics with at least two years experience. It is a plus to have experience in Thermage, IPL and general knowledge of medical skincare products.

The ideal candidate will have a Certificate of Completion as a Medical Assistant. Experience in a medical facility is preferred. This position requires multi-tasking and diversity and would include the following tasks: assisting in surgery, sterilizing instruments, sanitizing, preparing and supplying patient rooms, assisting in pre-ops, monitoring patients in recovery, assistance with patient flow, chart notes, and other wide range of miscellaneous tasks. The position is full time. The candidate will be trained in Prolite, Thermage, Botox, Obagi Skin Care Products and microdermabrasion.

Bookkeeper and Appointment Specialist
Anderson Cosmetic Surgery is looking for a Bookkeeper/Appointment Specialist with at least 3 years bookkeeping experience, preferably in the medical/clinical field. Responsibilities:
  • Prepare bank deposits (daily)
  • Report deposits to off-site accountants twice per week
  • Mail invoices to off-site accountants each Friday
  • Report Payroll Hours to off-site accountants (2x a month)
  • Monitor Petty Cash
  • Daily data entry - to include but not limited to:
    • Payments and Patient information entered into Nextech (our patient data/reporting system)
    • Filing invoices and Superbills
    • Ensure Superbills in upstairs files are less than 60 days old
  • Assist receptionist in answering phones
  • Schedule consultations and surgeries
  • Order office supplies
  • Oversee orders for skin care products and update inventory (weekly)
  • Order product brochures (monthly)
  • Responsible for maintaining medical, dental and vision insurance coverage. Schedule yearly meeting with Business Manager and insurance carriers for review.
  • Help new employees with paperwork & fax to Paycheck
  • Monitor employee vacation and sick days
  • Each month prepare a report to Business Manager on the amount of skincare products sold by Estheticians and provide the total amt. of skin care products sold.

Licensed Medical Esthetician
Anderson Cosmetic Surgery is seeking a licensed medical esthetician with a minimum of five years experience, preferably in the medical/clinical field. This position has room for advancement and is an excellent opportunity for business operation, marketing, and sales.

Responsibilities:

  • Professional attitude, appearance and demeanor a must. Superb telephone protocol and ability to multi-task. Excellent written communication skills.
  • Strategize and execute marketing, seminars and special events.
  • Meet with all consult and surgery patients to assess personal and surgical skin care needs.
  • Call patients to schedule appointments to discuss the services provided by the clinic and by the esthetician.   
  • Maintain advertising materials and brochures throughout the office.  Each day check reception area, restroom and consult rooms for adequate marketing materials arranged in impeccable order.
  • Responsible for building patient base by proactively calling, emailing and/or writing  patients to schedule esthetician appointments for skincare analysis and to recommend appropriate procedures and products.
  • Routinely contact patients to discuss their progress and answer questions.
  • Routinely contact patients to schedule post-procedure photographs. 
  • Professionally design protocol of patient care and present to Dr. Anderson and Michele O’Hara for review.   
  • Prepare product orders for approval by Michele O’Hara, Business Manager prior to ordering. 
  • Routinely review and revise, when necessary, written protocols, marketing materials and esthetician brochure.  
  • Administer treatment procedures on esthetic equipment in the clinic including but not limited to Thermage and Intensive Pulse Light. 
  • Perform the following treatments: Microdermabrasion, glycolic peels and facial treatments. 
  • Design strategy for esthetic department to be approved by Business Manager regarding product selection, equipment selection, marketing and sales.
  • Conduct independent research on current technology, policies, procedures and products. 
  • Responsible for preparing chart notes for each patient consult and procedure.
  • Enter patient data into computer and other data entry projects
  • Maintain strict vigilance of product inventory, keep all product cabinets locked at all times esthetician is not in the esthetician office. 
  • Enter product inventory into Nextech and ensure that all products are accounted for and that ordered inventory match sold inventory.
  • Prepare Procedure Manual for esthetician department
  • Master relevant computer skills to implement job requirements.  Must be computer literate.
  • Four year college degree required and advanced training in esthetic programs
  • Must have an entrepreneurial spirit with the intent to develop, grow and enhance the esthetician department.
